Automating Teams Meeting Creation from SharePoint Lists using NITRO Custom Actions & Forms
Quote from Ryan Stefani on September 29, 2026, 12:51 pmHey Everyone,
Quick win: You can write the Teams join URL straight back to your list item using Output Mapping. Here is the 3- step configuration guide:
Prerequisites: SharePoint List Schema
Before building the action, ensure your target SharePoint list has columns to store the meeting parameters:
Meeting Title (Single line of text)
Start Time (Date & Time)
End Time (Date & Time)
Attendees (Person or Group column — multi-selection enabled)
Meeting Description (Multiple lines of text)
Teams Join Link (Hyperlink or Single line of text) — stores the generated meeting URL back to the item
Step 1: Create the "Create Meeting" Action in NITRO Custom Actions
Open your SharePoint list, click NITRO Studio in the top ribbon, and select Custom Actions.
Select your list and click New Action.
Set the Action Name (e.g.,
Generate_Teams_Meeting) and select Create Meeting from the Action Type dropdown.Configuring Meeting Settings:
Meeting Provider: Select Microsoft Teams.
Organizer: Set to
[Me](the user running the action) or specify a dedicated service account.Subject: Use column placeholders to build a dynamic title, e.g.,
Review Session: [[Title]].Start Time / End Time: Map these to your list's Date & Time columns (
[[StartTime]]and[[EndTime]]).Attendees: Map to your Person/Group column (
[[Attendees]]).Body / Description: Include dynamic placeholders or standard instructions for the attendees.
Output Mapping (Saving the Link Back):
In the Update Item / Save Link section:
Check the box to Save Join URL to Field.
Select your Teams Join Link column. This ensures that once Microsoft Graph creates the event, the join URL is written directly back to your SharePoint list item.
Step 2: Surface the Action on your NITRO Form
Once the custom action is saved, you need a way for users to trigger it directly from the item interface.
Go back to NITRO Studio and open NITRO Forms Designer.
Edit your Edit Form or Display Form.
From the left-hand panel, drag a Custom Action Control / Button onto your form canvas (e.g., in the header action bar or next to the status field).
Select the button, name it "Create Teams Meeting", and bind it to the
Generate_Teams_Meetingcustom action you created in Step 1.Save and publish your form.
Step 3: Test the Workflow
Create a new list item with a Title, Start/End time, and at least one attendee in the Person column.
Open the item, click the Create Teams Meeting button on your NITRO Form.
NITRO will invoke the Graph API connection, create the calendar event, email the attendees with the Teams link, and update the Teams Join Link field on your SharePoint item in real time.
