SharePoint Forms - Best Practices

If you're transitioning from out-of-the-box SharePoint lists or finally migrating off InfoPath, NITRO Studio is incredibly powerful. NITRO Studio has so many drag-and-drop features, it's easy for beginners to overcomplicate things right out of the gate.

Here are my top best practices for entry-level users designing their first few NITRO Forms:

  1. Don't Recreate the Past

The biggest mistake beginners make is taking a clunky, 50-question legacy form (or paper PDF) and rebuilding it field-for-field. Does the user really need to type out their Department, Manager, and Email, or can you pull that dynamically from their Microsoft 365 profile? Only put fields on the form that you need the user to input. NITRO™ Forms > Left-side Pane > Form Settings > Auto-fill Settings

  1. Break It Up

No one likes opening a form and seeing an endless wall of fields. If your form has more than 10-15 fields, break it up. Use NITRO’s Tabs and Line/Section separators (NITRO™ Forms > Left-side Pane > Form Controls > Tabs and Sections) to logically group data.

  • Tab 1: Requester Info
  • Tab 2: Request Details
  1. Adding Permissions

This is where NITRO truly shines over standard SharePoint lists. Don't show users fields that don't apply to them. If the user selects "Hardware Request" from a category dropdown, then reveal the "Type of Hardware" field. If they select "Software," hide the hardware options and show the "License Needed" field instead. Keeping the initial form clean drastically improves user adoption and reduces data entry errors. NITRO™ Forms > Right-side Pane > Permissions

  1. Lock Down the Data (Validation & Defaults)

Garbage in, garbage out. Use NITRO’s Column Validation and Form Event Actions to guide the user. This is more advanced but a great way to any form/business process. NITRO™ Forms > Left-side Pane > Advanced > Form Event Actions

  • Make essential fields mandatory.
  • Set default values so users must do less work (e.g., set the "Status" field to "New" automatically upon creation).
  • Use built-in validation to ensure phone numbers, dates, or project codes match your company’s required format.
  1. Consolidate with Role-Based Permissions

You don't need to create three different forms for the Requester, the IT Tech, and the Approving Manager. Build one master form and use NITRO’s UI and permissions logic to dynamically hide the "Admin Only" or "Approval" tabs from standard end-users. It makes managing your SharePoint lists 100x easier down the road.

  1. Test on Mobile

NITRO forms are responsive by default, but complex tables or massive text blocks can still feel cramped on a smartphone. Always preview your form and submit a test item on your phone before pushing it live to your team.
